Acceptable Use Policy

Last updated March 27, 2026. This policy defines what is and is not permitted when using Portlo, protecting freelancers, clients, and the platform.

1. Purpose

This Acceptable Use Policy ("AUP") defines the rules for using the Portlo platform. It applies to all users, including freelancers (account holders), team members, and clients who access portals. This policy supplements and is incorporated into the Portlo Terms of Service.

2. Permitted use

Portlo is designed for freelancers and service businesses to deliver work professionally. Permitted uses include: - Creating client portals to share project files, deliverables, and updates - Sending and collecting payment on legitimate invoices for services rendered - Presenting proposals and collecting electronic signatures on contracts - Communicating with clients through portal messaging - Managing project tasks and tracking activity

3. Prohibited content

You may not upload, share, or distribute content that: - Is unlawful, fraudulent, or deceptive - Infringes on any third party's intellectual property, trademark, copyright, or other proprietary rights - Contains personally identifiable information of others without their consent - Is defamatory, threatening, harassing, abusive, or discriminatory - Contains sexually explicit or exploitative material, including any material involving minors - Promotes violence, terrorism, or illegal activities - Contains malware, viruses, trojans, ransomware, or other harmful code - Is designed to phish, scam, or socially engineer recipients

4. Prohibited activities

You may not use Portlo to: - Impersonate another person, business, or entity - Issue fraudulent invoices or request payment for services not rendered - Collect payment for illegal goods or services - Launder money or facilitate any form of financial fraud - Harvest, scrape, or collect personal data from other users or their clients - Probe, scan, or test vulnerabilities of the Service or its infrastructure - Attempt to gain unauthorized access to other users' accounts, portals, or data - Reverse engineer, decompile, or disassemble any part of the Service - Interfere with or disrupt the Service, servers, or networks - Circumvent any rate limits, access controls, or security measures - Use automated tools (bots, crawlers, scrapers) without written permission - Resell, redistribute, or sublicense access to the Service unless authorized by your plan - Send unsolicited bulk communications through portal messaging or email features

5. Payment and invoicing rules

Portlo invoicing and payment features must only be used for legitimate business transactions. You may not: - Issue invoices for goods or services that were not agreed upon with the client - Use invoicing to collect donations, tips, or payments unrelated to professional services - Manipulate invoice amounts, currency, or descriptions to mislead recipients - Use Stripe checkout links generated through Portlo for purposes outside the platform Portlo reserves the right to report suspected fraudulent payment activity to Stripe and relevant authorities.

6. Electronic signature obligations

When using Portlo's electronic signature features for proposals and contracts: - You must ensure that all signing parties understand what they are signing - You must not forge, manipulate, or fabricate signatures - You must not use signatures collected through Portlo to bind parties to terms they did not agree to - You are responsible for ensuring electronic signatures are legally valid in your jurisdiction and your client's jurisdiction

7. File storage and sharing

Files uploaded to Portlo must comply with this policy. Specifically: - Do not upload files that contain malware or executable code intended to harm recipients - Do not use Portlo as a general-purpose file hosting service unrelated to client delivery - Do not upload files that exceed your plan's storage limits through technical circumvention - Do not share portal links publicly for the purpose of mass file distribution Portlo may scan uploaded files for malware and reserves the right to remove files that pose a security risk.

8. Resource usage

You must use the Service within the reasonable limits of your plan. Portlo may throttle or restrict accounts that: - Consume disproportionate computing, storage, or bandwidth resources - Create an unusually high number of API requests or portal views - Use automation to create portals, files, or invoices in bulk beyond normal business use

9. Reporting violations

If you become aware of any content or activity that violates this policy, please report it to legal@portlo.io. Include the portal URL and a description of the violation. We will investigate reports promptly and take appropriate action.

10. Enforcement

Portlo may take the following actions in response to policy violations, at our sole discretion: - Issue a warning and request content removal - Remove or disable access to specific content - Suspend portal functionality temporarily - Suspend or terminate the violating account - Report activity to law enforcement or relevant authorities For severe violations (fraud, malware distribution, exploitation), we may take immediate action without prior notice. For less severe violations, we will generally provide notice and an opportunity to remedy the issue before taking action. Decisions may be appealed by contacting legal@portlo.io within 14 days.

11. Changes to this policy

We may update this Acceptable Use Policy from time to time. Material changes will be communicated through the Service or by email. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
